Long Byres Holiday Cottages
Thank you for choosing to book with LONG BYRES HOLIDAY COTTAGES, at Talkin Head we very much look forward to welcoming you. Please note, when you make this booking you are entering an agreement with us. Our terms and conditions of booking are below and we would be very grateful if you could read this in full before making your booking.

A contract between you and the owner will come into existence when any payment is received and a booking confirmation is issued showing the confirmed holiday dates. The contract binds you & all the members of your party. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these terms & conditions of booking. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking. Bookings cannot be accepted from persons under eighteen years of age.

Prices
The price of the accommodation includes the following:
Electricity, Water, Gas, Wifi and use of bed linen and towels during your stay.

Wifi

Wifi is available in the cottages, although due to being in a rural area we cannot always guarantee the service or speed.  We suggest that if you intend to download movies this is done prior to your arrival so as not to incur any interference during viewing. No unlawful or inappropriate material is permitted to be downloaded if required by law details of downloads will be supplied to the relevant authorities when called upon to disclose such details.

Pets
Well behaved pets are permitted in the cottages by prior arrangement. Owners must guarantee that in the event of any damage or injury that might be caused in any way, by the animal, they will accept full responsibility and cost of any repairs on replacements required and which are caused by their pets either at Long Byres Holiday Cottages or on the surrounding grounds at Talkin Head. The cottages are located on a working farm and so we kindly ask that all pets are kept under control for the duration of any stay.

Other Pets rules:

– Up to 2 (well behaved) pets are allowed at one time

– Please don’t let pets onto the furniture, especially sofas and beds

– Guests are responsible for cleaning up after their pets

– All pet’s must be kept on a lead when walking around Long Byres Holiday Cottages and Talkin Head. Please remember that there are livestock around Talkin Head and Long Byres so please keep animals on leads and under control at all times.

Cancellation and Insurance:
Once you have booked your holiday, our agreement is a legal contract and your deposit is non-refundable. If for whatever reason you cannot take your holiday and you cancel your booking more than 28 days prior to your arrival, the remaining balance between the deposit paid and the total booking cost will not be due. If you have already paid for your booking in full, you will be refunded the balance between the price of your booking and the deposit amount. 

If you cancel your booking on or within 28 days of arrival, and the booked property cannot be re-let, you are still liable to pay for the booking in full, even if we have not yet received your balance. If we do succeed in re-letting the booked property or properties, you will not be liable for the balance if not yet paid, or we will refund the remaining balance to you if you have already paid it.

We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

The owner reserves the right to refuse a booking without giving any reason. Please note we would always try and avoid this circumstance and the balance of your booking would be refunded.

Non-availability of Accommodation:
We would only cancel your holiday if your accommodation was unavailable for reasons beyond our control. We would attempt to offer you alternative accommodation, however if this was not possible, or unacceptable to you, then we would refund all monies paid by you for the holiday. Our liability would not extend beyond this refund.

Arrival:
Your accommodation will be available to you from 1500 hrs on the day of arrival, unless otherwise arranged. Please try not to arrive earlier –we will still be busy preparing your accommodation, and won’t be available to welcome you.

Departure:
Please be ready to leave the accommodation by 10.00am on the day of departure, unless otherwise arranged. Please try to leave the accommodation as clean as possible. If you have made use of any further service for which payment has not been made during your holiday, we will provide you with an invoice which is payable on departure.

Damages and Breakages:
Please treat the facilities & accommodation with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in your accommodation, please let us know immediately so that we can take the appropriate action. If breakages do occur during your stay, please report these as soon as they occur. We do not normally charge for minor breakages, but we may send you an invoice for repair or making good if the damage or breakage is significant, and we may make an additional charge of £50.00 if you did not report this.

Liability:
We do not accept any liability for any damage, loss or injury to you or any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment.

Data:
We will only use the personal data of guests for the purpose of processing the booking and will not willingly pass on your personal data to 3rd parties. Should you opt in to receive any of our marketing/publicity material your details will be stored securely on internal systems and only used for this purpose.   

Occupancy:
The number of persons making use of the properties must not exceed the maximum number of persons entered on the booking form. We are not obliged to accept more persons even if there is room available at the property

No parties or events – the maximum number of persons using the accommodation at any time must not exceed the maximum number of people allowed to use the property and only those listed on the booking form can occupy the property. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

(Note: If you allow guests to have visitors during their stay, clarify the maximum number of occupants, that they must be approved in advance.

Payment Details
We can process card payments online but will also accept payment by cheque or BACS. If the booking is made for more than 14 days before your arrival we will require a deposit of 25% to secure your booking and the full payment of the remaining balance is due prior to 14 days before your arrival. If booking is made on or within 14 days of arrival, then the entire booking cost, to include the deposit and remaining balance is payable on reservation of a cottage.

All cheques should be made payable to Mr Samuel Sykes, Kirkhouse Office Cottage, Kirkhouse, Brampton, CA8 1JR. If you would like to make payment via BACS please advise accordingly and we can issue an invoice including bank details.

Smoking Policy
We are a No Smoking Establishment. If we find that guests have been smoking in the accommodation, then we reserve the right ask you to leave immediately. Whether or not you are asked to leave, we also reserve the right to charge further sums if we are unable to re-let the accommodation whilst it is fully aired. You will be notified in writing as soon as is reasonably practicable if evidence of smoking is discovered after you depart.

Noise and Nuisance
You must not cause a nuisance or disturbance to neighbouring accommodation or behave in an unreasonable way. The playing of music or making any noise which is clearly audible in nearby accommodation is not permitted after 11pm. If we consider that guests are in breach of this policy, then we reserve the right to ask you to leave immediately. You will not be entitled to a refund for the balance of your stay.

Other house rules/conditions of stay 

  • Please do not move any furniture from one room to another.
  • Please remove shoes before entering the house.
  • Please lock the doors and close the windows when you leave the property unoccupied.
  • Please make sure you switch off lights, heating, air conditioning or any electrical appliances when you go out – we’re an eco-friendly holiday home.
  • Please don’t take any bath towels with you to the beach. Use the beach towels (if provided).
  • Please note that if any keys issued are not returned at the end of your stay, then the cost of replacement will be charged to you.
  • Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision.
  • Please park your vehicles in the designated parking space, ensuring cars do not block access to other properties. Parking is limited to 2 vehicles.
  • Guests may in no circumstance re-let or sublet the property, even free of charge.
  • Candles are not allowed inside the house.
  • Any problem or complaint which the client may have concerning their holiday must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us/the property manager at the time and only reported after the client has returned from holiday will not be considered by the proprietor.

Parking

Please park your vehicles in the designated car park, ensuring cars do not block access to and from the car park or for other vehicles.

Complaints

Any problem or complaint which the client may have concerning their holiday must be immediately reported directly to us/our representatives and we will endeavour to put matters right. Any complaints not reported to us/the property manager at the time and only reported after the client has returned from holiday will not be considered by the proprietor.

Reservations

We and our representatives reserve the right to enter the property at any time to undertake essential maintenance or for inspection purposes.

The owner reserves the right to make a charge to cover additional cleaning costs if the client leaves the property in an unacceptable condition.

No compensation will be given for any temporary outage of electricity, gas, water, internet connection or television service.

We reserve the right to make reasonable amendments or additions to these terms and conditions without notice.
